1. Who this covers
Kova Digital, ABN 57 270 579 986. I am one person. I build and look after websites for Australian trade businesses, and this covers both this website and the work I do for clients.
Because of the small business turnover threshold, the Privacy Act 1988 does not currently apply to me. I handle information as though the Australian Privacy Principles did apply, because that threshold is being removed and because it is the right way to run a business that holds other people’s customer details.
2. What I collect
From the quote form on this site: your name, your mobile, your trade, where you work, whether you have a website now, and what kind of work you want more of. That is all six fields. There is no email field on the form, so I do not collect an email address unless you send me one yourself.
From clients: business details, ABN, licence number, service areas, logo, photos, the words for your site, domain and hosting login details where you choose to give them to me, and billing details.
Automatically: my hosting provider keeps standard server logs — IP address, browser, page requested, time. I do not read these routinely and I do not link them to anyone.
What I do not collect: this site sets no cookies. There is no analytics, no tracking pixel, no advertising tag, no session recording, no chat widget, no fingerprinting. Nothing on this site follows you anywhere, and there is no banner asking you to accept anything, because there is nothing to accept.
3. How I collect it
You type it into the quote form, or you tell me on the phone, by text, or by email. I do not buy lists, scrape contact details, or use data brokers.
4. Why I collect it
To quote your job. To reply to you. To build and look after your site. To invoice you. To keep the records the ATO requires me to keep.
5. Who else sees it
Form delivery. When you submit the quote form, it is sent through FormSubmit, a form-delivery service that forwards it to my inbox. Its operator and country of operation are not publicly disclosed, and I am telling you that rather than leaving it out. If that matters to you, ring or text me on 0485 679 116 instead of using the form.
Email. My inbox is hosted by Namecheap Private Email, so anything you send me sits there once it arrives.
Hosting. Vercel serves this site and keeps the server logs described above.
Tax. My accountant and the ATO see client billing records.
I do not sell your information, rent it, trade it, or hand it to anyone else for their marketing. Ever.
6. Information held overseas
Some of the providers above operate outside Australia. That means your information may be stored or processed overseas and may be subject to the laws of another country. I use them because they are the practical tools for the job, and I have named them so you can decide for yourself.
7. How I contact you
The form asks for a mobile because a text is how I reply. As the form says: I will text you, I will not ring you out of the blue.
I do not have a mailing list, so you cannot end up on one. I will not add you to anything. If you tell me to stop contacting you, I stop, and I do not need a reason.
8. If I run review requests for your business
If you take Review Management, I send review requests to your customers on your behalf. In that case:
- You only give me contact details you are allowed to give me, and only for customers who would reasonably expect to hear from you about the job you just did.
- Every message identifies your business and carries a way to opt out.
- If someone opts out, they are out permanently, and I do not need to ask you first.
- I use those details for your review requests and nothing else. They do not go into any list of mine.
9. How long I keep it
Enquiries that do not turn into work: deleted from my inbox after six months.
Client records: kept while you are a client and for five years after that, because tax law requires me to keep records for five years.
Server logs: kept for as long as my hosting provider keeps them. That is their retention period, not mine.
10. Seeing what I hold, or having it deleted
Email jordan@kovadigital.com.au and ask. I will tell you what I hold about you, correct anything wrong, or delete it, at no charge. I will come back to you within ten business days.
If deleting something would leave me unable to meet a tax or legal obligation, I will tell you which part I have to keep and why.
11. Keeping it safe
This site runs over HTTPS. My accounts have two-factor authentication on. Where I hold a client’s hosting or domain logins, they sit in a password manager, not in a document or an email.
I am not going to claim military-grade anything. I am one person with good habits, and no system is completely secure. If something did go wrong in a way that could hurt you, I would tell you.
12. If you are not happy

13. Changes
If this changes, the revision reference and date at the top change with it. I will not apply a new version backwards to information I already hold under an older one.
